How we look after your information

We are trusted with some of the most personal things a family owns: a fingerprint, a child’s handwriting, the name of someone who has died. This page says plainly what we hold, why, how long for, and what you can ask us to do about it.

Who we are

VAT registration GB 976 6267 64. We are the data controller for the information described here, which means we decide what is collected and why. We are registered with the Information Commissioner’s Office under registration C2036663.

What we collect, and why

We only collect what we need to make your keepsake and to run the business properly.

  • Your contact and delivery details — name, email address, telephone number and the address a parcel goes to. Needed to take an order, keep you informed and post the piece to you.
  • The print itself — the fingerprint, hand or foot print, paw print or handwriting we work from, whether taken with our Print Taking Kit, scanned by a partner, or sent to us as an image.
  • Who the keepsake is for — usually a name, and sometimes a date. Often this is the name of someone who has died.
  • What you ordered and what you paid — the pieces, the metals, the engraving, the price, and the record of payment.
  • Your account, if you set one up — an email address and a password. We never see your password: it is stored only as a one-way scrambled value that cannot be turned back into the original.
  • Messages between us — emails, notes from phone calls, and anything you tell us about the piece.
  • How you use this website, only if you agree to it in the cookie banner — the pages you visit, what you add to your basket, and whether you order. See cookies.

A word about prints

A fingerprint is unusually personal, so we want to be exact about it.

We use prints for one purpose only: to make and remake your jewellery. We do not use them to identify anybody, we do not run them against any database, and we never share them for any purpose of that kind. Because we do not use them to identify a person, they are not handled as biometric identification data under UK data protection law — but we treat them with the same care regardless, because of what they mean to you.

UK data protection law does not apply to the personal information of people who have died. We have decided to hold the print of someone who has died to the same standard as a living person’s: it is kept securely, it is used only to make jewellery for the family, and it is deleted if the family asks us to.

Why we are allowed to hold it

  • To perform our contract with you — everything needed to take, make, hallmark and deliver your order, and to deal with it afterwards.
  • Our legitimate interests — keeping your print on file so a family can reorder years later without taking a new one, which is often impossible; preventing fraud; improving what we make. You can object to any of these at any time.
  • Legal obligation — HMRC requires us to keep records of sales and VAT.
  • Your consent — marketing emails; and, if you choose to allow them in the cookie banner, analytics and advertising cookies and the information about your order that goes with them (below). You can withdraw consent at any time — unsubscribe in one click, or change your cookie choice through the Cookie settings link at the foot of every page — and it will not affect your order.

Analytics and advertising

With your permission, and only with it, we use Google Analytics to understand how the website is used, and advertising tools from Google, Meta (Facebook and Instagram), TikTok and LinkedIn to measure whether our advertising works and to show our advertising to people who have visited us. You choose in the cookie banner when you first arrive, and you can change your mind at any time.

If you allow it, when you place an order or request a Print Taking Kit we also tell those companies directly, from our own server, that the order happened: what was ordered, its value, and your email address and telephone number in a scrambled form (a one-way “hash”) that lets them match the order to an advert without our sending your details in readable form.

We never do this for orders placed by a funeral director or other trade partner, for orders placed by our own staff, or when you have not given permission. We never send a print, the name of the person a keepsake is for, or anything you have written about them.

When a funeral director orders for you

Many of our orders are placed by a funeral director, jeweller, midwife or vet on behalf of a family in their care. When that happens they pass us the family’s name, the print, and a delivery address. They are responsible for having told the family and for having their agreement. We use what they pass us only to make and deliver the piece, and a family can contact us directly at any time to ask what we hold or to have it removed.

Who else sees it

We do not sell your information, and we never will. We share it only with the people who need it to get your keepsake to you:

  • Royal Mail and our courier partners — the delivery name, address and telephone number, and nothing else.
  • Our payment provider — card details go straight to them and never reach our systems. We see only that a payment succeeded, and the last four digits.
  • An assay office — for hallmarking. They see the metal, not you.
  • Our accountants and, where the law requires it, HMRC.
  • The suppliers who run our systems for us — our website and database servers (OVH, in London), the network that protects them (Cloudflare), our file and backup storage (Backblaze), our email (Microsoft 365, and a specialist sending service for newsletters), our payment provider (DNA Payments), our accounts (Xero) and our cookie banner (Cookiebot, run by Usercentrics). Each works under a contract that obliges them to protect it and forbids them from using it for anything of their own.
  • Google, Meta, TikTok and LinkedIn — only if you allow analytics or advertising cookies, and only as described above.

Our own systems and our data are held in the United Kingdom and the European Economic Area. Some of the suppliers above are based in the United States or process information there; where that happens it is done under the safeguards UK law requires, such as the UK Extension to the EU–US Data Privacy Framework or the International Data Transfer Agreement.

How long we keep it

  • Orders, invoices and payment records — seven years, because HMRC requires six full years after the end of the accounting period.
  • Prints — kept indefinitely so a family can order again, which is one of the main reasons people come back to us. Deleted whenever you ask, and we will confirm when it is done.
  • Your account — for as long as you want it. Tell us and we will close it.
  • Marketing consent and emails — until you unsubscribe, and then only the record that you did, so we do not write to you again by mistake.
  • Your cookie choice — twelve months, after which the banner asks again. The cookies themselves last as long as the table on the cookies page says.

What you can ask us to do

You have the right to ask for a copy of what we hold, to have it corrected, to have it deleted, to restrict or object to what we do with it, and to receive it in a portable form. Write to [email protected] and we will answer within one month. It costs nothing.

If you are not happy with how we have handled it, please tell us first and give us the chance to put it right. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.

Keeping it safe

Access to customer records is limited to the members of staff whose job needs it, each with their own sign-in, and every change to a record is logged against the person who made it. Passwords are stored only as one-way scrambled values. Card details never reach us.

Children

We make keepsakes of children very often — a first footprint, a small hand — and almost never for them. Orders are placed by adults, and we do not knowingly collect information from anybody under 16.
